What is the SHN Log Book?

The SHN Log Book is a structured recording system that is specifically designed for sheltered housing providers.  Each Log Book system is tailor made for the organisation to ensure appropriate information is recorded that meets the requirements of that organisation.  The content of individual logbooks are scheme specific allowing for any anomalies of individual schemes to be included and all service provision in each scheme to be documented with ease.

The SHN Log Book system enables effective and accurate record keeping of the wide range of services provided.  It is designed in a style that makes recording quick and simplistic for ease of use by staff.  The logbook frees up valuable time spent on administrative duties, allowing staff more time to provide service to tenants/leaseholders.

The SHN Log Book provides clear evidence of the service provision that has been delivered.  This enables the organisation to monitor service delivery and measure this against service standards.  At the end of each year the logbooks can be audited, providing the organisation with detailed information regarding how they have performed in relation to meeting the service standards set for that year.  The annual audit can be conducted either internally by the organisation itself or SHN can provide an external audit, which many existing users of the log book system have favoured as they see this as being a more efficient and constructive method of obtaining un-bias feedback.

The SHN annual audit provides both a scheme-by-scheme analysis plus a general analysis of the overall service.  This provides clear performance indicators that will demonstrate the effectiveness of the service provider and highlight areas of the service that are not meeting the set service standard.  Information obtained through the audit can be used to demonstrate to tenants/leaseholders, funders (such as supporting people teams), management boards and other stakeholders as evidence of the actual service delivery provided during that year.  The Log Book system can be set up to run either over the calendar or financial year, whichever is more appropriate to meet the organisations requirements.

The audit is also a useful tool in assisting the organisation to review its service at the end of each term and reflect objectively on how the service can be further improved – a useful asset in future ‘Best Value’ reviews.  The audit also demonstrates to staff, the achievements they have made during that year, thereby providing an effective team-building tool.
